Description
Our client has an immediate opening for an Administrative Coordinator. This role will support daily operations by managing front desk activities, coordinating with various divisions, and ensuring a welcoming and efficient environment for all.
Responsibilities:
- Answer incoming calls, respond to inquiries, and route calls to appropriate divisions
- Greet and assist residents, contractors, and visitors, directing them to the appropriate staff or resources
- Maintain a welcoming and professional reception area
- Monitor and order office supplies to ensure adequate inventory for department operations
- Create and issue new employee and contractor identification cards in accordance with department protocols
- Maintain visitor logs, supply records, and other relevant documentation
- Collaborate with other divisions to ensure seamless communication and support
- Assist with scheduling, data entry, and general clerical tasks as needed
Requirements:
- High school diploma or equivalent required; additional administrative experience or training preferred
- Strong verbal and written communication skills with a focus on customer service
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with standard office equipment
- Detail-oriented and highly organized, with the ability to handle multiple tasks in a fast-paced environment
- Previous experience in a similar administrative role is preferred
- Office-based role with frequent interaction with the public and staff members
- Follow standard working hours with occasional flexibility based on department needs
